About:

The Maryland State Youth Soccer Association (MSYSA) is a member of the US Soccer Federation as a National State Association and is affiliated with US Youth Soccer. MSYSA serves as the primary advocate for youth soccer in the state of Maryland and the District of Columbia. MSYSA is dedicated to offering the highest quality soccer education, player development, and programs while fostering sportsmanship, fitness, diversity, teamwork, and passion for the game. 

 

Established in 1976, the MSYSA proudly serves a membership of more than 180 affiliate clubs and leagues typically registering 70,000 players and thousands of coaches, administrators, and volunteers. The MSYSA state office is located in Glenwood, Maryland.

Job Description:

The Maryland State Youth Soccer Association (MSYSA) Events & Operational Support Coordinator oversees the various on-site activations within the MSYSA jurisdiction each year specifically pertaining to setting up and tearing down tents, signs, and banners, etc. Events include the MSYSA programs (e.g., State Cup, Presidents Cup, Coaching Education, ODP, etc.) and additional activations designed to raise awareness and grow excitement around the game of soccer while encouraging people to participate (e.g., back-to-school festivals). Additionally, this position provides administrative support to multiple MSYSA departments including, but not necessarily limited to, the registration department and the technical department. The Events & Operational Support Coordinator provides registration support to individuals looking to register each year and administratively supports various programs, including Coaching Education, the Olympic Development Program, and Summer Soccer Academy. The duties within the job description are listed below. The Events & Operational Support Coordinator position is full-time, exempt, and reports directly to the MSYSA Technical Director. Some nights and weekends are required.

 

Duties & Responsibilities:

Events:

  • Research established events to determine fit and accessibility.
  • Create, plan, and execute community soccer events, as necessary.
  • Coordinate all logistics to include arrival, set up, and tear down.
  • Work with Marketing & Communications Coordinator to promote upcoming events.
  • Arrange for additional support staff to work events, as needed.
  • Engage with attendees to share about MSYSA and the game of soccer.
  • Answer questions and respond promptly to emails or calls.
  • Additional duties as assigned.

State & Presidents Cup:

  • In advance of games, set up MSYSA branded assets to include tents, signs, and banners, as needed.
  • Assist the Cups Director on-site during the various game weekends, as needed.
  • Following the conclusion of games, tear down all MSYSA branded assets and return to the state office.
  • Additional duties as assigned.

Programs (Let’s Play!, ODP, SSA):

  • In advance of events, set up MSYSA branded assets to include tents, signs, and banners, as needed.
  • Assist the applicable program lead on-site during the various events, as needed.
  • Following the conclusion of events, tear down all MSYSA branded assets and return to state office.
  • Additional duties as assigned.

Coaching Education:

  • In advance of courses, set up MSYSA branded assets to include tents, signs, and banners, as needed.
  • Assist the Technical Director on-site during the courses, as needed.
  • Following the conclusion of courses, tear down all MSYSA branded assets and return to the state office.
  • Additional duties as assigned.

Registration:

  • Answer phone calls and relay messages, as needed.
  • Work with clubs, coaches, and families to help set up programs and complete registrations within the MSYSA registration platform.
  • Attend and participate in conference calls, training sessions, and meetings facilitated by the MSYSA Registration Specialist.
  • Support Affiliates registering for the new seasonal year.
  • Help train club administrators on how to use the registration platform.
  • Monitor clubs to ensure leadership is compliant:
    • Mandatory compliance requirements include background check, SafeSport training, and concussion awareness training
  • Assist with checking the US Youth Soccer DARM report, the U.S. Soccer disqualification list, and the SafeSport disciplinary records for every adult looking to register with MSYSA each seasonal year and note findings within the MSYSA registration solution.
  • Update these lists with any Maryland individuals that have been disqualified from participating within the organization.
  • Assist MSYSA Cups Director by working with teams regarding roster requirements for participating in cup events at the state, regional, and national levels.
  • Help new affiliate leadership with their onboarding.
  • Assist in verifying players for roster inclusion based on age group requirements set by US Youth Soccer.
  • Maintain guidelines for affiliates to refer to when needing assistance.
  • Meet one on one with affiliate clubs/teams to guide them through the registration process, as necessary.
  • Prepare the affiliate vote count report for the annual AGM meeting.
  • Additional duties as assigned.

Programs:

  • Answer phone calls and relay messages, as needed.
  • Send and respond to emails.
  • Maintain and track employment paperwork for ODP Coaching Staff, Coaching Education Staff, and Summer Soccer Academy (SSA) Staff.
  • Assist with maintaining ODP Schedules within TeamSnap.
  • Assist with maintaining ODP, Coaching Education, and SSA websites, registration, etc.
  • Assist with maintaining ODP player profiles within Athlete Match.
  • Assist with ODP player uniform ordering utilizing the vendor provided website.
  • Assist with ODP tryout player check-in.
  • Perform data entry for player scores during ODP tryouts.
  • Process refunds, as needed.
  • Post coaching education courses in the U.S. Soccer Learning Center.
  • Schedule all virtual coaching education meetings in the MSYSA Zoom accounts.
  • Additional duties as assigned.

Qualifications:

  • Must possess strong administrative skills and be proficient with all Microsoft Office applications (including Word, Excel, Outlook, PowerPoint, and One Drive). 
  • Should have clear and effective written and verbal communication skills in multiple settings.
  • Must be in good physical condition.
  • Possess a passion for the game of soccer.
  • Must have excellent organizational skills.
  • Ability to multi-task and take direction.
  • Must possess a valid driver’s license.
  • Must possess the ability to work as part of a team.
  • Must be eligible to work in the USA and pass annual background check.
  • Language Skill(s): English. Spanish is a plus. 
Special Requirements 
  • New hires must consent to and complete a criminal background check (MSYSA will cover the cost). People with a criminal record are encouraged to apply.
  • New hires must complete the following training courses to meet MSYSA Mandatory compliance, and program expectations: SafeSport Trained Core Course

Compensation:

Salary is commensurate with experience.
